One-on-One Professional Business Training is committed to protecting the privacy
of our Clients and Staff and observes the Australian National Privacy Principles
legislated by the Commonwealth of Australia.

All Staff and Contractors have been inducted on One-on-One Professional

All Personal Information is stored within either the One-on-One
Professional Business Training’s Filing Cabinet or the One-on-One Customer
Management System which is a controlled area. All access to Personal
Information is stored in secured and controlled areas and all access to this
information is logged.

Only authorised staff with a valid logon can access information in the
One-on-One Customer Management System.
4.
Backup Storage of all Client information is stored in a secured safe and
again access is via a controlled area.

All registration information collected by our Registration Forms or
Online Bookings System is stored in a secured area
2.
All registration information is entered into our central repository
located on our server leroy02. Access to this server is via a secured logon and
is a controlled area.

All registration forms are stored in the Clients Folder and the Clients
folder is stored within the One-on-One Professional Business Training Filing
Cabinet
4.
All registration information is used to facilitate the appropriate
training sessions.
5.
Registration Information will result in contact with the client and
ongoing contact after the course has finished.
6.
One-on-One Professional Business Training will maintain contact with the
client to facilitate the following:
a.
Inform the client of upcoming courses, events etc at the One-on-One
Learning Groups Training Centre
b.
Inform the client of changes in the Privacy Policy
c.
Inform the client when there are changes in their Course Registration

One-on-One Professional Business Training will not provide any personal
information to any third-person, third-party or organisation without expressed
written permission by the individual involved.
2.
One-on-One Professional Business Training will not provide client
information to any Government Body except in the form of a Statistical
Measurement which cannot identify the individual.
3.
One-on-One Professional Business Training will only provide client
information where required to by the Laws of the Commonwealth of Australia, Laws
of the State of Queensland or where directed by an Australian Law Enforcement
Agency.
4.
One-on-One Professional Business Training may provide information to the
clients employer on the Training and Assessments outcomes if the employer
initiated the training and assessment programs.

All clients have the right under the Privacy Act and the Australian
Quality Training Framework to access their personal records
2.
All clients will receive written confirmation of their request for access
to their client records within 5 working days.
3.
All clients must provide two forms of proof of identity, one form must
contain a photo. The following are acceptable forms of identity.
a.
Drivers license
b.
18 Plus Identification Card
c.
Valid Passport
d.
Credit Card, Debit Card with valid signature and name on the card
e.
Student Identification Card from a University or Tafe
f.
Birth Certificate
g.
Government Identification (eg Military Id, Government ID)
4.
All clients will receive a written letter confirming the date and time in
which they can access their client records.

All clients must make written
application for access to their personal records

On receipt of the request for
access to their personal records the Office Administrator will fill out a
Request for Client Access to Records form.

The Office Administrator will
send a letter of confirmation of receipt of their request for access to
their personal records

The Office Administrator will
seek authorization from the Managing Director/COO that access can be
provided to their personal records and have the Managing Director sign-off
approval on the Request for Client Access to Records form

Once the Managing Director has
provided approval of access to the Client Records the Office Administrator
will contact the client to arrange a time in which they can access their
records
-
On confirmation of a date and
time, the Office Administrator will send a written letter to the client
informing them of their meeting time and their obligations they must meet
for Proof of Identity.

On the day of the meeting, the
Office Administrator must take photocopies of the clients proof of identity
and store

The Office Administrator will
sign off that the client turned up to review their records. The Office
Administrator will have the client sign-off that they have received access
to their client records
-
Once the client has reviewed
their client records the Office Administrator shall ensure that the Client
Records are in tact and that no records have been removed and sign-off on
the receipt that this has occurred.

The Office Administrator will
place the Client Access to Records Form and their client proof of identity
information into their client records.

All Privacy Policy Complaints
must be lodged in writing using a Corrective Action Form with a covering
letter.

On receipt of a Privacy Policy
Complaint the Office Administrator will contact the client in writing to
inform the client that the complaint has been received and that the Managing
Director will review the complaint and will in writing advise the outcome of
the complaint. The Office Administrator will also lodge a record in the CAR
Log of the Corrective Action Record Form.

The Managing Director/COO will within 5 working days review
the Privacy Policy Complaint and then document an action upon which will be
undertaken on the Corrective Action Record. The outcome for the complaint
will be as follows –

Complaint is found to have
merit and action will be taken to correct the complaint and the outcomes
will be lodged in the Corrective Action Log

Complaint is found to have
no merit
-
If the Managing Director/COO
finds that the complain does not have merit, the Managing Director will
inform the client and advise that if they feel the outcome is not to their
satisfaction they can lodge a formal complaint with the Privacy
Commissioner.
- The
Management of RTO QLD Pty Ltd reserves the right to modify and amend this
policy and document dependent upon the current demands and changes to the
Privacy Act of 1998 and the Laws of the Commonwealth of Australia.

amendments to the Privacy Policy will be documented and found in this
document.
- All
customers affected by any changes or amendments to the Privacy Policy will
be emailed, if their email address is available or posted to the internet at
